These Terms govern the use of AI Company OS (the “Service”) and the relationship between users and the operator. By using the Service, you agree to these Terms.
1. Scope
These Terms apply to all use of the Service.
2. Account
Users must register accurate information and manage their credentials responsibly.
3. Fees & Payment
Users pay the stated fees by the specified method. No trial period is provided; the monthly fee applies from the start of the contract. There is no initial setup fee.
4. Prohibited Acts
Illegal acts, rights infringement, unauthorized access, interference, and reverse engineering are prohibited.
5. Data
Data is isolated per company (organization). Reasonable safeguards are taken; users are advised to keep their own backups of critical data.
6. AI Features and Output
1. Any AI-generated answers, suggestions, analyses, predictions, text, documents, images, data processing, or other output provided by the Service are intended to assist the user's work. The operator does not warrant their accuracy, completeness, timeliness, usefulness, legality, non-infringement of third-party rights, or fitness for a particular purpose. 2. AI output may contain errors, inaccurate or outdated information, inappropriate suggestions, or content differing from the user's intent. 3. The user shall review AI output at their own responsibility, correct it as necessary, and make the final decision on its adoption, use, transmission, publication, or execution. 4. AI output does not substitute for professional advice in law, tax, accounting, labor, medicine, finance, investment, or other fields. The user shall consult qualified professionals (lawyer, tax accountant, CPA, labor consultant, physician, etc.) as needed. 5. The Service uses external AI engines; AI usage fees may be borne by the user.
7. User's Duty to Review and Approve
1. Before using, finalizing, sending, publishing, or executing the following, the user shall confirm the content: quotations, invoices, contracts, purchase orders, amounts, tax, remittance details, payment terms, customer information, personal data, emails, LINE messages, external documents, reservation details, inventory quantities, shifts, management decisions, and other information affecting third parties or money. 2. An approval action by the user is treated as the user having confirmed the content and authorized its execution. 3. The operator is not liable for damages arising from the user approving or executing without review, entering incorrect information, failing to enter necessary information, or giving inappropriate instructions, except in cases of the operator's willful misconduct or gross negligence. 4. When the user sends information to a third party using the Service, the user is responsible for confirming the recipient, content, attachments, amount, and other details.
8. User Responsibility
1. The user uses the Service at their own discretion and responsibility. 2. The user shall manage, at their own responsibility, the devices, network, account, credentials, data accuracy, and backups needed to use the Service. 3. The user is responsible for the work, decisions, customer interactions, contracts, billing, payments, external sends, and other acts performed using the Service. 4. The user shall comply with applicable laws, industry rules, internal policies, contracts, and third-party rights when using the Service.
9. Disclaimer
1. The operator does not warrant that the Service is always available, free of suspension or failure, free of errors, that all data is retained, or that the user's expected results are obtained. 2. Except where attributable to the operator, no liability is assumed for damages to the user or third parties arising from: user input/operation errors or lack of review; adopting AI output without review; mis-sending or mis-approval; poor management of IDs/passwords/devices/credentials; unauthorized access or use by third parties; communication or Internet failures; cloud service failures; suspension, failure, or spec changes of Stripe, LINE, email, external APIs, or other third-party services; force majeure (disasters, power outages, epidemics, war, riots, etc.); errors in data provided by the user or third parties; changes in laws, administrative interpretation, tax systems, or external service specifications. 3. The operator does not warrant the continuity, quality, safety, or accuracy of linked third-party services. 4. Except for the operator's willful misconduct or gross negligence, the operator is not liable for business decisions, revenue loss, reputational harm, disputes with customers, or other results arising from use or inability to use the Service.
10. Limitation of Liability
1. Where the operator is liable to the user in connection with the Service, liability is limited to ordinary and direct damages actually incurred by the user, except in cases of the operator's willful misconduct or gross negligence. 2. Except for willful misconduct or gross negligence, the operator is not liable for lost profits, indirect, special, or consequential damages, lost business opportunities, reputational harm, or data loss. 3. The total amount of the operator's liability is capped, except for willful misconduct or gross negligence, at the total Service fees actually paid by the user to the operator during the six months preceding the month in which the damage occurred. 4. If less than six months have elapsed since the start of use, the cap is the total fees actually paid from the start of use to the month of the damage. 5. If any disclaimer or limitation herein is not permitted by law, the provisions of that law prevail.
11. Termination
Users may cancel anytime. The operator may suspend use without prior notice in case of violations.
12. Changes
The operator may amend these Terms; material changes are notified on the Service.
13. Governing Law
Japanese law applies; the operator’s local court has exclusive jurisdiction.
External AI service fees
AI Company OS's monthly fee does not include usage fees for external AI services. Fees for OpenAI, Anthropic, Google Gemini and other AI services are billed directly to the customer by each provider, based on the contract between the customer and each provider.
